Welcome to AirtimeBA! These Terms and Conditions (“Terms”) govern your use of www.airtimeba.com, www.airtimeba.net (including the proprietary web application hosted on the latter domain), and all services provided by AirtimeBA LLC and Online Work Solutions (hereinafter referred to as “we,” “us,” or “our”). By accessing or utilizing our services, you acknowledge that you have read, understood, and agree to be bound by these Terms in their entirety.
1. Scope of Services
AirtimeBA provides behavior analysis tools, training, and consulting services designed to enhance communication and decision-making in organizations. Our core services include:
- Verbal Behavior Awareness Training – Professional development programs for improving the use of verbal behaviors in team settings.
- AirtimeBA Web Application – A proprietary tool used by qualified practitioners to observe and analyze meeting behaviors.
- Meeting Reports and Insights – Quantitative, behavior-based feedback and analysis generated from observed team interactions.
Access to www.airtimeba.net is restricted to authorized users, including Owners, Developers, Consultants, Performance Coaches, and Participants, each of whom has distinct access levels as outlined in our Data Security & Privacy Policy.
2. Domains
AirtimeBA maintains two domains. The domains are similarly branded, and users may move between the domains via an SSO:
- The company website – AirtimeBA LLC: www.airtimeba.com. This domain is public facing showcasing our product and services
- The web application – Airtime: www.airtimeba.net. This domain is private and is used by performance coaches to observe groups and report verbal behavior data.
3. Roles and Responsibilities
To ensure secure proper use of AirtimeBA’s services, the following roles and responsibilities are defined:
Owner
- Owns AirtimeBA, the web application, intellectual property, and all data assets.
- Defines access controls, security policies, and compliance measures.
- Grants authorized access to www.airtimeba.net only to approved Owners, Developers, Consultants, Performance Coaches, and Participants.
Developer
- Develops and maintains the AirtimeBA web application.
- Implements data security measures, encryption protocols, and software updates.
- Has access to technical infrastructure
- Has access to First Name, Last Name and Email as well as data for purpose of report generation
Consultant / Airtime User
- Responsible for program design and implementation.
- Holds the relationship between Client, Participant, and Performance Coach.
- Has access to client, cohort, and group-level data, but not individual participant data unless explicitly enabled by the Performance Coach.
Performance Coach / Airtime User
- Works directly with Participants to collect, analyze, and provide feedback on verbal behavior data.
- Has access to individual and group behavior data that they collect.
- Ensures that data is used exclusively for coaching and professional development.
- There are two categories of Performance Coach; Coach and Coder. A Coach will have a coaching certificate or be qualified by experience to be a coach.
Project Manager / Airtime User
- Responsible for setting up groups in Airtime and assigning them to Performance Coaches to observe.
- Has access to technical infrastructure but does not have access to client-sensitive information beyond First Name, Last Name and Email. Does not have access to individual and group reports.
Participant
- Is informed about what data is being collected and how the data is being used before data is collected. Participants have access to documentation describing the 18 behaviors before, during and after the observation period and participate willingly. Participants may inform the Performance Coach should they wish to become an anonymized participant and elect to use a pseudonym. In this case they will not receive an individual report from Airtime.
- Engages in conversations within AirtimeBA programs, generating verbal behavior data.
- Has access to their own data and Individual Report, which does not identify other participants.
Client
- The organization or entity that engages Consultants to implement AirtimeBA services.
- May receive aggregated, anonymized reports but not individual participant data unless explicitly agreed upon.
4. Data Usage and Privacy
AirtimeBA is committed to protecting user privacy. The following is a summary of our Data Security & Privacy Policy:
What Data We Collect
AirtimeBA.com
- Interacts via forms with visitors in the case that they wish to subscribe to a blog, sign up for a demo of Airtime, register for an event or a class qualifying users to use Airtime.
- Makes use of cookies. Here is our cookie policy.
AirtimeBA.net
Password protected access give users (Consultant, Performance Coach, Project manager)
- Participant Information – First name, last name, email (provided by the Client).
- Behavior Data – Observed meeting behaviors (18 behaviors). The Project Manager does not have access to behavior data.
- Survey Responses – Responses to Likert-scale questions regarding their qualitative experience of a conversation.
- We do not use cookies or tracking technologies on www.airtimeba.net.
Where Verbal Behavior Data is Stored and Processed on AirtimeBA.net
- Hosted on www.airtimeba.net, maintained by Xecu.net (Frederick, MD, USA).
- Data is stored on a secure cloud server, with access restricted to AirtimeBA’s Owner and Developer.
- Backups are encrypted and stored securely (AES-256 encryption).
Verbal Behavior Data Retention and Deletion
- Data is retained for up to six (6) months for program evaluation.
- Once anonymized, identifiable data is deleted from the server.
- Participants may request access or deletion of their personal data at any time.
- AirtimeBA employs AES-256 encryption at rest and TLS 1.2+ encryption in transit, following industry security standards. However, users acknowledge that no online system is completely invulnerable to security threats.
- AirtimeBA may retain and analyze de-identified, aggregated behavioral data for the purpose of improving professional development programs, industry research, and platform enhancements. No personally identifiable data will be retained beyond the stated retention period.

5. Intellectual Property
All software, methodologies, training materials, and analytical frameworks used by AirtimeBA are proprietary. Users may not:
- Copy, distribute, or modify AirtimeBA’s tools without explicit permission.
- Use behavior data for commercial purposes beyond intended reporting.
- Attempt to reverse-engineer, extract data, or interfere with AirtimeBA’s platform.
Violations of intellectual property rights may result in legal action.
6. Limitation of Liability
AirtimeBA provides behavioral insights and data analysis, but we are not responsible for:
- Business decisions made based on our reports.
- Misinterpretation or misuse of behavioral data.
- Any indirect, incidental, or consequential damages related to service use.
7. User Responsibilities
Users agree to:
- Keep login credentials confidential and not share access.
- Use behavioral insights ethically and not for discriminatory purposes.
- Maintain the confidentiality of meeting data and reports.
- Users may generate one (1) official copy of individual reports for their own use. Reports may not be duplicated, shared externally, or stored outside the AirtimeBA platform without prior written authorization.
- If an AirtimeBA user remains inactive for 18 months, their account may be marked as dormant, and their access to stored data may be removed unless an explicit request for continued access is made.
- Failure to comply may result in service termination.
8. Pricing and Adjustments
- Access to AirtimeBA LLC services and product is prepaid and non-refundable but may be converted to credit toward future service and product.
- AirtimeBA LLC reserves the right to adjust pricing, credit systems, or access models at its discretion. Airtime Users will receive at least 90 days’ notice of major changes.
- Any existing contracts between Airtime Users and Clients will be honored at the rate that they were agreed as long as service delivery is provided within the same calendar year as the price increase.
- Exceptions to the above may be made by contracting between the User and AirtimeBA LLC.
9. Dispute Resolution
Users agree that any disputes arising from these Terms shall be resolved through binding arbitration in Maryland, USA, except where prohibited by law. By using AirtimeBA, you waive any right to a jury trial or class action lawsuit.
10. Updates and Changes
AirtimeBA may update these Terms and Conditions periodically. Users will be notified at least 14 days in advance of significant changes.
